BCSD Gmail Resources

On Monday, March 19, 2018, Bethlehem School District will be using Gmail and Google exclusively for its email and calendar platform. This means all email addresses currently being used by Bethlehem employees will be replaced with email addresses, hosted by Google.

The IT team has been working closely with faculty and staff for several months to ensure a smooth transition from Microsoft Outlook to the new Gmail platform. Training has been made available to all employees, but we want to be sure you have the resources you need if, and when, you have questions about using Gmail and Google calendar. 

We encourage you to share your new email address with your regular contacts as soon as possible. However, it is important to remember that email sent to your old will be automatically forwarded to your new address so you never have to worry about missing an important message. 

On Friday, March 16, beginning at 4 p.m., all existing email will be copied over to your new account. After the cutover, you will no longer be able to send email from your account. You will be able to access your email in Outlook in a read-only format until June 30, 2018. There are some things you can still do to assist in the migration.


  • March 16, 2018, 4 p.m. – This is the cutover date. All existing email through Mar. 9 will be migrated and you will begin to receive new email in your account. You will no longer log in to Microsoft Exchange/Outlook to receive your email.
  • March 17-18, 2018 (weekend) – Remaining email from Mar. 9-Mar. 16 will be migrated over the weekend.
  • Monday, March 19, 2018 – The email migration will be complete and all BC employees will use their accounts to send and receive email and schedule calendar dates.

Top 7 things to remember…

  1. Beginning March 19, we will no longer be using the addresses and will begin using the addresses exclusively.
  2. After the cut-over, all email sent to you address will automatically get forwarded to you address… indefinitely.
  3. All contents of your inbox will be moved over. Including cabinet/folder structure.
  4. All of your contacts will come over, both external and internal contacts. Contact groups WILL migrate over if Google can verify those addresses exist.
  5. If you receive email on your phone or mobile device, please download the Gmail app (in your App Store or Google Play Store) and login with your username and password.
  6. If we recently renamed your exchange or Google account, you will continue to receive mail from your previous address, even after the migration. Ex. was renamed to So after the migration, email from both ssmith4 and ssmith will flow into
  7. Please be aware that students are now in the same email domain as you. Which means they can look you up, and email you directly.
